What Should You Check in a Catering Proposal Before Booking?

When planning an event, there are a hundred small decisions to make, but food has a special responsibility. Guests may forget the colour of the tablecloths or the music played during dinner, but they will remember a good meal. When the starters keep coming, the main course is divine, and the dessert has everyone asking for a second helping, you know you’ve got a brilliant caterer.

But choosing a caterer is more than just sampling a few dishes. Have a good look at the catering proposal before you sign the agreement. It tells you what you are paying for and what to expect on the day of the event. There are eight things to look at.

  1. Food Variety and Menu Details

Verify that the menu has all the dishes, from welcome drinks to starters, main course and desserts. Look for vegetarian, non-vegetarian and special diet options. Mention them plainly if you asked for regional dishes or personalised recipes.

  1. Per Plate Rate & Hidden Charges

A quote can be attractive until the extras are added. Check the cost per plate, taxes, service charges, transportation fees and any additional costs for live counters or special arrangements. The pricing breakdown will help you budget, so you don’t receive any nasty surprises.

  1. Number of Servings & Serving Sizes

Ask how the caterer figures out food quantities. Are the portions adequate for your expected number of guests? Also, explain how additional guests will be handled. Nobody wants the last few guests to know that the paneer tikka has run out.

  1. Food Quality and Ingredient Standards

Ask where the ingredients come from, how the food is prepared, and how quality checks are done. If you can, schedule a tasting before you finalise the menu. Freshness, presentation, taste and consistency are important.

  1. Staff, Service and Presentation

Good service is part of a good meal. Find out how many chefs, servers and supervisors will be on duty. The proposal should also elaborate on the arrangement of tables, buffet layout, crockery, cutlery and presentation of the food counter.

  1. Kitchen Facilities and Sanitation

Ask if the caterer has its own equipment or requires access to the kitchen of the venue. Check food storage, transport, cleanliness and safe serving practices. Hygiene should never be an afterthought.

  1. Timelines and Contingency Plans

Your caterer has to know the times food needs to be cooked, delivered and served. Discuss set-up timelines, serving timetables and contingency plans for delays, equipment failures or unforeseen changes.

  1. Cancellation Policy and Payment Terms

In case you are paying an advance, read the cancellation policy, refund conditions, payment milestones and rescheduling terms. Put in writing all services you agree to perform.

Use This Catering Proposal Checklist Before You Sign

A practical catering proposal checklist should include: menu, pricing, guest count, food quality, staffing, hygiene, timelines and payment terms. Do not automatically choose the cheapest one, but carefully compare the offers.
